Privacy Policy

Last updated: October 25, 2026

This policy explains what personal information Roos International collects when you visit our website, create an account, place an order, apply for a trade account, or contact us, and how we use, share, and protect it.

Information we collect

Information you give us:

  • Account details: your name, email address, phone number, and password when you create an account. Passwords are stored in hashed form by our authentication provider and are never visible to our staff.
  • Order and delivery details: the products and samples you order, your billing and shipping addresses, and the contact details needed to deliver your order and send updates about it.
  • Payment details: card payments are collected and processed by Stripe. We receive confirmation of the payment and limited details such as the card brand and last four digits. We do not store full card numbers or security codes.
  • Trade account applications: your legal business name, business type, professional role, tax identification number (EIN), company website, project notes, and the supporting documents you upload.
  • Support requests: the messages and attachments you send through our contact form, a quote request, or by email, along with any order number you reference.
  • Bug reports and feedback: when you use the Feedback or Report a bug button, what you write, an optional email address, a screenshot of the page you were on, and any pictures you add. With the report we record the time, your IP address and approximate location, your browser and device, and the pages, buttons, errors, and failed requests in that browser tab leading up to it, so we can reproduce the problem. We never record what you type into forms, and password and card fields are blanked in the screenshot.
  • Newsletter sign-ups: your email address and your subscription preferences.
  • Saved items: the contents of your cart and wishlist.

Information collected automatically:

  • Usage information: pages viewed on our brand and collection pages, how each visit began (the website, search engine, or social network that referred you, or a direct visit), and campaign tags in the link you followed.
  • Email engagement: whether a marketing email from us was delivered, opened, or clicked, and whether you unsubscribed.
  • Diagnostic information: technical details about errors that occur while you use the site, used to find and fix problems.

Cookies and similar technologies

We use a small number of cookies and browser storage entries:

  • Sign-in cookies: keep you signed in to your account. These are required for the account area to work.
  • Order access cookies: let you view an order you placed as a guest and its tracking page without signing in. The tracking cookie lasts up to 30 days.
  • Marketing attribution cookie: when you first arrive on our site, we set a first-party cookie containing a random identifier for up to one year. It records how each visit began, such as one of our emails or campaign links, a search engine, another website, or typing our address directly, and which of those visits led to a sample request, quote request, or order. If you arrived by clicking one of our ads, it also keeps the click identifier the ad platform added to the link, so we can tell that platform when the visit later leads to a quote or order.
  • Browser storage: your cart and wishlist are saved in your browser so they are still there when you return. A short list of the pages and buttons you used is kept in your browser tab until it closes, and is sent to us only if you send a bug report or feedback.
  • Tag management, analytics, and advertising: we use Google Tag Manager to load Google Analytics and advertising tags from Google Ads and Microsoft Advertising. These tags set cookies that measure how the site is used and which ads lead to inquiries and orders, and may be used to show our ads to you on other websites. When you send a form or place an order, they may receive a one-way hashed (SHA-256) version of your email address or phone number so the ad platform can match the result to an ad click; the address itself is not sent.
  • Region cookie: a one-day cookie that notes whether you are browsing from the European Economic Area, the United Kingdom, or Switzerland, where our analytics and advertising tags stay off.

You can block or delete cookies in your browser settings. If you block sign-in cookies, you will not be able to use your account.

How we use information

  • Process, fulfil, and deliver orders and sample requests, and send order and shipping updates.
  • Create and manage your account, and review trade account applications.
  • Answer questions and resolve support requests.
  • Send newsletters and marketing emails to people who have subscribed, and measure how those emails perform.
  • Recommend products and improve our catalog, website, and service.
  • Detect and prevent fraud, abuse, and security incidents.
  • Meet our legal, tax, and accounting obligations.

How we share information

We do not sell your personal information. We share it only with service providers that help us run our business, and only as needed for the service they provide:

  • Payments: Stripe processes card payments and helps prevent fraud.
  • Shipping: UPS and other carriers receive the name, address, and contact details needed to deliver your order.
  • Hosting and data storage: Vercel hosts our website and Supabase stores our database, files, and account sign-in records.
  • Email: Brevo delivers our marketing emails and reports delivery, opens, clicks, and unsubscribes. Microsoft provides the mailbox we use for customer support.
  • Support assistance: OpenAI helps our team draft replies to support requests. It receives the text of the conversation and limited order context. It does not receive payment details or attachments.
  • Error monitoring, analytics, and advertising: Sentry receives diagnostic information about site errors. Google provides tag management, analytics, and advertising measurement, and Microsoft provides advertising measurement. When a click on one of our ads leads to a quote or order, we may send that ad platform the click identifier, the time and value of the result, and a hashed email address or phone number.

We may also disclose information when required by law, to protect our rights or the safety of others, or as part of a merger, acquisition, or sale of our business.

Marketing emails

You can unsubscribe at any time using the link at the bottom of any marketing email, or by contacting us. We will still send messages about your orders, account, and support requests.

How long we keep information

We keep personal information for as long as your account is open or as needed to provide our services. We keep order, payment, and tax records for as long as the law requires. When information is no longer needed, we delete or anonymize it.

Your choices and rights

You can review and update your profile and saved addresses at any time from your account. You may also ask us to give you a copy of the personal information we hold about you, correct it, or delete it. Depending on where you live, you may have additional rights under local law, including the right to object to or limit certain uses of your information.

Analytics and advertising: in the European Economic Area, the United Kingdom, and Switzerland our analytics and advertising tags are off. Elsewhere, you can turn off advertising measurement by enabling Global Privacy Control in your browser; we treat that signal as a request to opt out of sharing your information for advertising. You can also block cookies in your browser settings.

To make a request, email support@roosintl.com. We may need to verify your identity before acting on a request, and we may keep information we are legally required to retain.

Security

We use technical and organizational measures to protect personal information, including encryption in transit, access controls on our database, and restricted staff access. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children

Our website is intended for design professionals and adult customers. It is not directed to children under 16, and we do not knowingly collect their personal information.

International visitors

We are based in the United States, and the information we collect is processed and stored in the United States and other countries where our service providers operate.

Changes to this policy

We may update this policy from time to time. When we do, we will post the new version on this page and change the date above.
